2. Bookings and availability

All bookings remain subject to availability and verification. A booking is created when Rustic Fields confirms the customer’s enquiry in writing and provides a booking reference. A booking is only secured once the required deposit has been received and confirmed.

Customers must provide accurate contact, guest and booking information. Rustic Fields may contact the customer to confirm details, correct obvious errors or request further information.

3. Rates, quotations and VAT

Rates displayed on the website are quoted in South African Rand. The final amount shown in the booking summary or invoice applies to the selected dates, quantity and service. Where VAT is applicable, it will be included or disclosed on the invoice.

Rustic Fields may correct an obvious pricing or system error before accepting payment. If a material error affects an existing booking, the customer will be contacted and may accept the corrected amount or cancel for a refund of amounts already paid.

4. Deposit and payment

A 50% deposit is required to secure a booking. A provisional reservation may be released if the required deposit is not received within the period communicated by Rustic Fields.

The remaining balance is due no later than 2 days before arrival or the event date, unless Rustic Fields confirms a different arrangement in writing. Failure to pay the balance by the due date may result in cancellation, subject to applicable law and the cancellation policy below.

Payment instructions are provided directly by Rustic Fields when an enquiry is confirmed. Customers should only use payment details supplied through an authorised Rustic Fields communication channel.

5. Customer cancellations

Cancellation requests must be sent in writing to admin@rusticfields.co.za and must include the booking reference and customer details.

A reasonable cancellation charge may be deducted from amounts paid. The amount will be determined with reference to the notice provided, the nature and value of the booking, costs already incurred, the length of the booking, and Rustic Fields’ ability to rebook the accommodation or venue. The charge will not exceed a reasonable amount permitted by South African consumer law.

No cancellation charge will be imposed where prohibited by law, including qualifying cases involving the death or hospitalisation of the person for whose benefit the booking was made, subject to reasonable supporting documentation.

6. Refunds

Approved refunds will be returned to the original payment method where reasonably possible. Refunds are not paid in cash where the original payment was made electronically. Processing time may depend on the payment provider and the customer’s bank.

Any reasonable cancellation charge, non-refundable third-party cost, damage charge or amount already due may be deducted before a refund is processed. The customer will receive confirmation of the refund decision and amount.

7. Changes and cancellations by Rustic Fields

If Rustic Fields must materially change or cancel a confirmed booking due to circumstances within its control, the customer will be offered a suitable alternative, credit or refund for the affected service. Rustic Fields will not be responsible for indirect losses that were not reasonably foreseeable.

Where an event is affected by circumstances beyond reasonable control, including severe weather, fire, utility failure, government restrictions or other force-majeure events, Rustic Fields will work with the customer in good faith to reschedule or provide an appropriate remedy as required by law.

8. Check-in, conduct and venue rules

Customers and guests must follow reasonable property, safety, noise, occupancy and venue rules. Illegal activity, dangerous conduct, serious disturbance, unauthorised additional guests or deliberate damage may result in removal from the property without prejudice to Rustic Fields’ rights.

The booking customer is responsible for loss or damage caused by the customer or their guests, excluding ordinary wear and tear.

9. Website use

The customer may not misuse the website, attempt unauthorised access, submit fraudulent information or interfere with its operation. Website availability is not guaranteed to be uninterrupted, but Rustic Fields will take reasonable steps to maintain and correct the service.

10. Privacy

Personal information is used to process bookings, communicate with customers, issue invoices, manage payments and meet legal obligations. Information is handled in accordance with applicable South African privacy law and is only shared with service providers where reasonably necessary to deliver the booking or process payment.

11. Complaints and disputes

Customers should first contact Rustic Fields at admin@rusticfields.co.za so that the matter can be investigated and resolved. These terms are governed by the laws of South Africa. Nothing in these terms removes any non-waivable rights under applicable consumer law.

12. Acceptance

By making a booking, the customer confirms that they have read and accepted these Terms & Conditions and the Refund & Cancellation Policy.
